Welcome to Safari Escapes PTY Ltd T/A Chester & Rose Travel. By using our services, you agree to comply with and be bound by the following terms and conditions. Please read them carefully.
1. Definitions
- “DMC” refers to Safari Escapes PTY Ltd T/A Chester & Rose Travel, the provider of destination management services.
- “Client” refers to any individual or organization that engages our services.
- “Services” refers to all services provided by the DMC, including but not limited to event planning, transportation, accommodations, and local excursions.
2. Acceptance of Terms
By confirming or using the services and at the time of processing any payment to the DMC, the Client confirms that they accept these terms and conditions. If the Client does not agree, they must not use the services of the DMC.
3. Services Provided
The DMC offers a variety of services, which may include but are not limited to:
- Event planning and coordination
- Transportation arrangements
- Accommodation bookings
- Guided tours and excursions
- Local cultural experiences
- Activities and excursions
The DMC and its employees operate solely as agents in arranging accommodations, transportation, and other travel services for the clients. The DMC work with third-party providers to deliver these services, and while they take great care to vet all suppliers, the DMC cannot be held liable for any loss, damage, death, injury, delay, or omission that may occur due to circumstances beyond their reasonable control, including negligence or default by any third party involved in executing the travel arrangements.
4. Booking and Payment
- All bookings must be confirmed in writing to the DMC. Provisional bookings can be held for a maximum of 14 days before requiring confirmation with deposit payment or release of the space.
- A non-refundable deposit of 20% is required at the time of confirmation, with the balance due 60 days before the travel date. Some suppliers have stricter deposit policies, and these will be communicated to the Client at the time of quotation.
- Payment methods accepted include EFT bank transfer and credit card with Visa / Mastercard.
- All prices quoted are subject to availability unless it has been clearly stated by the DMC that the reservation is on hold for the client.
- All prices quoted are subject to significant exchange rate fluctuations and unforeseen fuel or tax increases. While every effort will be made to minimize this impact on confirmed bookings, there may be scenarios where these fluctuating costs are passed on to the Client.
5. Cancellation and Refund Policy
Cancellations must be made in writing. The DMC works with a variety of 3rd party services in different countries where the cancellation policy varies. To cover most eventualities, the DMC pass on the following cancellation policy to the Client:
- If cancelled from the time of confirmation – 61 days prior to travel date, the 20% deposit (or deposit value paid) will be non-refundable.
- Cancellations made 60 – 46 days prior will incur a 50% cancellation fee.
- Cancellations made 45 – 0 days prior will incur a 100% cancellation fee.
- No refunds will be issued for no-shows.
6. Client Responsibilities
- The Client must provide accurate information regarding the names of the guests as they appear on their passports, passport information, and any special requirements such as dietary or medical.
- The Client acknowledges that they have read and understood the luggage limitations on light aircraft and helicopters as outlined in each quotation and understands that the DMC will accept no financial liability for any associated costs in purchasing new baggage or transporting excess baggage.
- The Client agrees to provide individual passenger body weights for safety requirements on light aircraft and helicopter and understands that guests weighing over 110 kg may be liable for additional costs to purchase another seat.
- The Client understands that self-drive holidays carry their own risk while driving in remote areas with potentially dangerous animals, and guests must be aware that any road closures, adverse weather conditions or vehicle break down are out of the control of the DMC and the Client confirms this type of safari with full knowledge of the risks associated.
The DMC reserves the right to amend an itinerary due to lodge closure, adverse weather conditions or road closures. In the cases of alternative lodge accommodation, only equivalent or superior value products will be offered.
7. Liability
- The DMC shall not be liable for any loss, damage, death or injury arising from the use of their services.
- The DMC shall not be liable for any flight delays or lost luggage.
- Clients are advised to obtain comprehensive travel insurance for their travel services to cover the above scenarios including medical evacuation.
8. Force Majeure
The DMC shall not be liable for any failure to perform its obligations under these terms due to circumstances beyond its reasonable control, including but not limited to acts of God, war, terrorism, or natural disasters.
9. Governing Law
These terms shall be governed by and construed in accordance with the laws of Botswana.
10. Changes to Terms
We reserve the right to modify these terms and conditions at any time. Changes will be effective immediately upon posting on our website.
